Frequently Asked Questions

Factors of knowledge work:

"When it comes to knowledge workers, we pretty much hire smart people and leave them alone. No quality measurements, no reengineering. We haven't formally examined the flow of work, we have no benchmarks and there is no accountability for the cost and time these activities consume. As a result, we have little sense of whether they could have ben done better." (Davenport, 2003)

Net-It Central - Key Features/Benefits

Key Features Benefits
It gets used! Users simply save or drag and drop documents to a standard network folder. Net-It Central does the rest, effortlessly keeping your intranet up-to-date. Users access the documents via a web browser. It improves organizational communication and efficiency and cost saving benefits immediately.
Creates searchable document libraries Net-It Central processes the released document files and creates intranet based text searchable document libraries that mirrors desired file server folder structures, without any concerns of accidental deletion or changes by document consumers.
Automatically create PDF, Flash, CDL renditions Net-It Central monitors configured folders and automatically publishes new or updated files to either PDF, FlashPaper or CDL (a format optimized for "page at a time" searching and delivery).  MS Office formats can be optionally converted to viewable HTML documents if desired.  Users, based on document site permissions, can access viewable renditions (PDF, etc) and/or "download" the native document files (Word, Excel, Powerpoint, etc) using their web browser.
Page based  access When document files are published to CDL, page based optimizations are possible.  Users can search the document sites and find desired documents down to the specific pages of interest and then directly view just those pages without having to download the entire document.  This feature is very handy for large operational manuals, reports, etc.
"I have read this" Policy and/or Procedure Over 300 Hospitals use Net-It Central for JCAHO compliance around clinical care policy and procedures.  Large manufacturing companies use Net-It Central for ISO9000 policy and procedures access.  The reasons are: simplicity, cost savings compared to other more complex solutions, and the ability to track by user their indication of reading and understanding a particular policy or procedure.  When CDL is used, editing policy and procedure documents is prevented and even printing can be disabled as well as a site configuration.
Content security Users can be restricted from any access to the native document files.  When CDL is used, it is very difficult for the user to capture the document and create new unapproved versions of the document.  Optionally, our Net-It Now CSF writer can be used to create document files that can be contributed to Net-It Central document sites for an even a higher level of security control.
Document file servers stay protected Greatly reduce SysAdmin/IT security concerns with Net-It Central.   Net-It Central only provides users access to "renditions" and/or copies of the document files leaving the original files and folders used by the content authors non-accessible to general users who just need to view released documents.
Contribute files with metadata Net-It Central does support the ability to create custom metadata fields to augment finding documents by categories or topic summaries.
Time enable / disable access For franchise and branch office customers, the pre-schedule time enable and disable document sites is indispensable to launching and communicating new current sales, promo's and marketing campaigns.
Easy to deploy and own Net-It Central is not a complex database solution, it doesn't install any live web server components, it doesn't require naming users, setting up groups, establishing workflows, etc.  It just monitors folders looking for new or updated documents, convert automatically to desired output format and creates an HTML indexable file that enables standard web server indexing to file the content within the documents (like it does with web pages).  It just works without human intervention or monitoring.
Supported applications & formats Net-It Central is certified with MS Office Suite (Word, Excel, Powerpoint, MS Project, Visio, Publisher) and Word Perfect.  Other applications can be scripted to be used by Net-It Central publishing engine.  Net-It Central can also open and directly process a number of popular image and drawing formats like AutoCAD, TIFF, PDF, CGM, WMF, HPGL/PLT, etc.  These files can be converted into either PDF or CDL document representations.
Customizable Net-It Cental comes with a set of HTML templates to create a document library site "look".  This templates can be customized to match the current style and look of your existing intranet web site or to blend document access into page interface menus and links.

Why should I consider Net-It Central?

Question: Why is Net-It Central a better publishing tool?

Answer: There are a variety of ways to convert documents into Web-readable formats, including HTML conversion or PDF documents. Net-It Central eliminates the human processes associated with taking this converted document through the additional steps to reformat, update, and place this document on a Web site. Now employees throughout your company can publish documents directly to a Web site or intranet as easily as they would save a file.

Question: Does Net-It Central use HTML conversion?

Answer: No. In fact, Net-It Central is the only Web publishing tool that doesn't use HTML conversion. Net-It Central's unique process compresses document files while retaining their formatting, making them viewable on the Web through a ActiveX-enabled Web browser.

Question: How does Net-It Central compare to PDF conversion?

Answer: Net-It Central offers the viewing accuracy and clarity of PDF files, without requiring a plug-in. Net-It Central publishes directly to your Web site or intranet, which PDF doesn't do. It also handles large document publishing more elegantly. With PDF, a large document means a large file - and that means a lengthy download to the desktop in order to be able to read the document. Net-It Central turns that 500 page manual into a composite document of 500 individual pages which can now be navigated by selecting a page number. Return

How do I publish documents to a Web site or intranet?

Question: How easy is it to publish documents to my site?

Answer: Very easy! Net-It Central's publishing process consists of five simple steps--

1. Establish document libraries.
2. Choose a template.
3. Customize the template with fonts and colors.
4. Choose your subject folders .
5. Add documents.

Net-It Central can now be set up to run its automation process according to your needs (e.g., daily at 11 pm), when it will publish your files or updates directly to your Web site.

Question: How do the documents get to my site?

Answer: You can either place files in the appropriate directory of your source tree on your physical network, or you can contribute files through the Contributor. When Net-It performs its next scheduled or manual site build, it automatically adds them to your Web site.

Question: What is a document library?

Answer: A document library is a linked collection of Web or intranet documents that contain both the original (source) files and the published (uploaded) files on the Web server. You can create as many document libraries as you want and have Net-It Central manage and update any or all of them automatically. Each document library can have its own look and feel, or you can have them all conform to your corporate standards.

Question: What is a template?

Answer: Net-It Central includes pre-designed templates to help you define the look and feel of your Web site or intranet. Each set of templates contains a hierarchy of subject folders to help you organize your documents.

Question: Can I customize the site templates?

Answer: Yes. Net-It Central offers you a choice of fonts, font colors, and a palette to choose colors for three areas of your site, as well as the option to add a title, footer, and logo. You can edit the existing templates to give your site a more customized appearance, or create an entirely new template of your own by editing the template's HTML files.

Question: How can I be sure Net-It Central will send my files to the right places on my site?

Answer: The hierarchy contained in the template you choose automatically organizes your site, and determines location for each document. All you need to do is decide which documents you want in each subject folder, and Net-It Central does the rest.

Question: Can I control when files appear on the site, and when they are deleted?

Answer: Yes. The time dated content feature lets you designate start and stop dates for each file. To set this up for an individual file, access the document in the directory window on the Property Manager screen, and then designate the start and stop dates. You can also override existing start and stop dates on the Options screen.

Question: Can I control when documents are published to the site?

Answer: Yes. The Scheduler (on the Build dropdown menu on the first screen) lets you set times for your site to rebuild.

Question: Can I control whether documents can be printed, copied or downloaded?

Answer: Yes. You can enable printing, copying or downloading from the Property Manager. Individual contributors can also designate whether these are allowed from the Contributor when they add or update documents.

Question: Can I designate specific documents to print sooner than others?

Answer: Yes, by using the Priority Publishing feature. To set it up for an entire site, check the Publishing Priority box on the Options menu and enter a number (1 or greater) to indicate how often you want the site to rebuild. Then, use the Scheduler ("Set Schedule" on the Build dropdown menu on front screen) to schedule your site to rebuild.

To enable individual contributors to publish documents on priority, check the box on the Contributor Settings screen. The site administrator can control which users have this privilege by designating a password that users need to enter before the Contributor will let them publish on priority.

Question: Can I restrict access to information on the site?

Answer: Yes. If you're using Windows 2000 or higher, you can enable the Transfer Security plug-in so you can apply the same user access restrictions with Net-It Central that you do for Windows.

Question: Can I alert users that new documents have been added to the site?

Answer: Yes. You can use Net-It Central's "Smart Updates" feature to automatically flag new and updated documents.

Question: Is there a limit to how many pages Net-It Central can manage?

Answer: The only limitations are based on the version of software you purchase. The amount of time it takes to convert a page would depend on the content. For example, a newsletter with photos, graphics and lots of formatting would take longer than a page of straight text.

Question: Can Net-It Central have the capability handle streaming video?

Answer: It can add a video to your site, but it can't convert it. The file has to be printable in order for Net-It Central to convert it.

Question: How do I see my site once it's published?

Answer: When your site is finished building, a dialog box will appear indicating the build is complete.  This dialog also has a Launch Site button that you can use to launch the site, or you can select Launch site from the Document Sites dropdown menu on the first screen. Return

Question: Is it easy for me and others to move around the site?

Answer: Yes. Net-It Central includes a standard document tool bar familiar to anyone who uses desktop software programs. The document tool bar includes commands that enable you to move within and between documents, zoom in and out of documents, and copy and print text.

Question: Can I easily find documents once I've added them to my site?

Answer: Yes. The templates and subject folders help you find documents you've already added to your site in case you want to make changes.

Question: How do others contribute to the site?

Answer: By using the Contributor. The Contributor feature is designed to lessen the burden on your Webmaster and IT department by enabling anyone in your company to publish information to your Web site or intranet. Employees can organize, add, manage, and update documents whether they're on or off-site, regardless of their technical knowledge level.

Question: Will Net-It Central work with search engines?

Answer: Yes. Net-It Central supports most standard search engines such as Microsoft Index Server, Netscape, and Excite.

Question: Do I need to install separate software to use the search feature?

Net-It Central documentation includes configuration instructions for the MS Index Server, as well as Netscape, and Excite search engines.

Question: How do I print documents, and what quality are they?

Answer: Net-It Central uses standard Windows printing features that are supported by your printer and print driver. Therefore, your documents will look like anything you print with desktop programs you normally use. Return

What about security and revision control?

Question: How secure is Net-It Central?

Answer: As secure as your network or firewall. Net-it Central works with the encryption settings on your firewall, and with the permissions you set on your Web server.

Question: Can I designate access rights to various documents?

Answer: Yes, by setting permissions through your Web or network server.

Question: How do I ensure unauthorized users can't publish or change information?

Answer: Net-It Central enables you to set permissions through your file server's operating system to give "read", "write", "edit", etc. rights to users who will be submitting, editing and deleting documents. You can also set individual access privileges through your Web server software, or by replicating the same user privileges you use for Windows to determine who can view published documents through the browser.

Question: Is there any revision management feature?

Answer: Not really. Net-It Central is designed to be a cost effective, easy-to-use Web publishing tool. While adding revision management capability would add functionality, it would increase the price, and make Net-It Central more complex. Net-It Central can be integrated with other programs to add revision management and other features by using the CentralTools API or the programmers guide. Return
